At Whitethread Institute, I oversee the streamlining of key operational processes through the implementation of integrated digital systems. My role focuses on improving efficiency in student enrolment, reporting, and internal communication by aligning technology with institutional needs.

Case Study: Whitethread Institute – Iftāʾ Specialisation Program Application Form

<b>Challenge:</b> The Iftāʾ Specialisation Program required applicants to complete online forms, approvals were tracked manually, exam bookings and payments were handled separately — resulting in delays, errors, and a heavy administrative burden. <b>Solution:</b> I delivered an end-to-end digital workflow: - Designed and deployed an online application form capturing all necessary data. - Integrated an approval process: once submitted the application triggers review by the team, with automated notifications. - Connected an interview booking system that allows approved applicants to choose available slots through an online calendar and receive confirmation automatically. - Linked payment processing so once booking is confirmed, payment is captured and payment status is passed back to the dashboard. - Built an admin dashboard providing real-time visibility of applications, approvals, bookings, payments and exam outcomes. <b>Results:</b> - Reduced Application processing time to under 24 hours. - Booking conflicts and manual scheduling errors virtually eliminated. - Payment reconciliation automated, saving ~10 hours per month of admin work. - Enhanced applicant experience with clear status updates and self-service booking/payment. - The system is now scalable and can be extended to other programs within Whitethread. <b>Why this works:</b> By bringing form-submission, approval, booking and payment into a unified workflow, the institution regained control, improved transparency and efficiency, and freed up staff time for other activities.
